Diwan Officer

Responsibilities

  • Receive all incoming correspondence, which may include letters, envelopes, packages, emails, faxes, and memoranda.
  • Sort and prioritize correspondence upon receipt.
  • Direct correspondence to the appropriate department or individual within the company based on the nature of the communication.
  • Draft outgoing correspondence, such as acknowledgments, requests for information, or follow-up letters.
  • Classify and label correspondence based on its type, subject, date, or other relevant criteria. This aids in effective retrieval when needed.
  • Enter data into a database or record management system. This may include details such as sender/receiver information, dates, reference numbers, and the nature of the correspondence.
  • Monitor copies to ensure the preservation of the latest and most accurate version for easy access.
  • Take appropriate security measures, such as protecting electronic documents with passwords or storing paper documents and files in secure locations to safeguard sensitive data.
  • Archive and store records after the retention period expires, placing documents in designated locations.
  • Organize meeting schedules and manage the company’s calendar.
  • Receive and direct incoming calls, visitors, and clients.
  • Prepare and format administrative correspondence and documents.
  • Manage and organize the archives and important files for the company.
  • Assist in arranging travel arrangements and hotel and flight bookings for employees.
  • Manage office supplies, order them, and distribute them as needed.
  • Perform all duties in accordance with approved health and safety regulations and comply with general health and safety procedures and standards.

Qualifications

  • Educational Qualifications: Bachelor’s degree in Business Administration or any related field.
  • Work Experience: 3 years of experience in an administrative role.

Professional Certifications and Training:

  • Good knowledge of Microsoft Office programs and electronic archiving techniques.
  • Strong understanding of archiving processes.
  • Advanced computer skills.
  • Time management and discipline.
