Employee Affairs Administrator

Responsibilities

·       Monitor employee attendance and leaves in collaboration with security personnel at the entrances, using approved attendance recording programs within the company.

·       Use spreadsheets or computer programs to record employee attendance and work hours.

·       Ensure the accuracy of attendance cards or fingerprint systems and make necessary adjustments.

·       Safely retain and archive attendance records, both in paper and electronic formats, according to the company’s established system.

·       Maintain an accurate record of working hours for each employee at each worksite.

·       Manually record paid and unpaid leaves and update this information in employee records in accordance with company policy.

·       Verify recorded attendance and work hours, review wage adjustments, and ensure that employee wages are paid accurately and on time.

·       Assist in payroll preparation by providing information about employee work hours and calculating overtime.

·       Update employee records with information about loans, unpaid leaves, long absences, terminations, and other deductions, as well as bonuses, incentives, and expense reimbursements, in accordance with company policies.

·       Maintain a record of promotions and benefits for employees.

·       Inform employees about any updates or new policies issued by company management.

·       Manage employee loan requests, in coordination with the payroll department and in accordance with company policies.

·       Manage health insurance requests.

·       Maintain good relations with employees and provide guidance regarding policies, regulations, and laws.

·       Keep employee records updated with any new information, such as training, education, certifications, contact information, legal matters, etc.

·       Monitor logistics services for employees, such as transportation insurance, hotel reservations, travel, and accommodation, in collaboration with the Corporate Services Department in the company.

·       Evaluate the services provided and provide feedback to the HR Manager and Department Head.

·       Assist in setting up fingerprint systems for new employees during the hiring process and provide support when redefining or using the fingerprint system when needed.

·       Monitor HR system information for employees to ensure accuracy.

·       Assisting new employees during the orientation process, organizing, and updating their files in accordance with company policies, and responding to their inquiries.

·       Prepare employment files, including policies, employee handbooks, job descriptions, etc., for delivery to new employees with the assistance of the HR Department.

·       Ensure that new employees have undergone medical examinations in coordination with the clinic.

·       Prepare employment contracts for new employees and explain benefits and obligations in accordance with local legal requirements and company policies.

·       Conduct exit interviews, record the results, perform an analysis, and provide a report to the Department Head.

Qualifications

·       Bachelor’s degree in management information systems, Business Administration, or a related field.

·       2-3 years of experience in the Human Resources Operations and Employee Affairs Department.

·       International certifications from one of the following organizations: HRCI or CIPD. SHRM is a plus.

·       Knowledge of Jordanian labor law.

·       Knowledge of Human Resources management systems and their programs, including attendance and departure recording systems.

·       Computer skills: Proficiency in computer programs used in the field of Human Resources management, such as Human Resources Information Systems (HRIS) and reporting software.

·       Excellent English language proficiency.

·       Excellent use of Microsoft Office.

·       Excellent oral and written communication skills.
